How to Make Business Address Former/Retired

In RE, open the constituent record.  Address information should appear on BIO 1 (If this business relationship is the only address on record it will be the business’ address).

Click on Business Tab in lower right corner.  The button should have a red check on it.

UnCheck box for “Primary business information”.

In the For this organization, this individual is a(n):.

UnCheck box for “Primary business information”.

Enter a “Valid Date from”.

Change the Relationship to Former Employer

Change the Reciprocal to Former Employee

Save and Close.

When the box comes up about “you have changed the address, do you want to change this on all linked records?”, SAY NO!!

Note:

Relationships can be tricky, but be careful when making a new business relationship or a former one. I've noticed a few records that have been backwards and have boxes checked that should be unchecked.

This is / was more of a problem (especially the boxes being checked when they should not be) in the past as many of the records I'm seeing date back from the primordal ooze of our work with RE, but still it's something I've noticed on a few scattered records recently.

If it's their current employer. and it's their primary, make sure the employer and primary business is checked. The relationship should be EMPLOYER and reciprocal EMPLOYEE.

 

If they own the business (partially or fully) then the relationship is BUSINESS and reciprocal is OWNER. If it's a partnership, then it's BUSINESS and PARTNER.

If they no longer work there

Everything is unchecked (employee, primary business and contact). The relationship is FORMER EMPLOYER and reciprocal is FORMER EMPLOYEE. (or FORMER BUSINESS and FORMER OWNER or PARTNER).

If they are retired, you can make a career note in Notes as retired, but don't over-write the position in the Relationship tab since there's no position history.

The biggest issue is that employee or primary business info is still checked when they no longer work there. We want to really clean up existing employment info and provide easy info on how much employment info we have on alums, and this will inform Jeffrey Ellis, Scott and everyone else on what we need to do to get better info.

I'm going to see if I can do some mass cleanup on outdated info this summer (hopefully global changes) so we can see where we're missing employment info and make an effort to fill in the blanks.
