How to Mark a Record as Deceased

Procedure

Verify that the person is, in fact, deceased either via Lexis / Nexis, Social Security Death Index, or an online Obituary.

If you find an obituary online, hit copy.

In RE, open the constituent record.

If you have an obituary, go to Notes.

Enter an Obituary Note, Description should be a brief statement of Obit.  Title is Obituary; Paste the copied obituary, including the URL into the text box.

In Bio 1

Check Deceased, and enter the date of death. (Do not decease someone without a verified date of death. Month and year are OK if found on L/N or SSDI)

If this person has a spouse, the Add/Sal for the spouse will appear. Change it to a single addressee and salutation. 

Under Addresses tab, highlight and open the address with Preferred checked.  Uncheck “Send mail to this address”. In Valid Dates change Date from, choose the date you are changing the record.  Save and close.

In Relationships tab, open spouse.  Uncheck “this individual is the spouse and/or head of household”.

Change “relationship” and “reciprocal” boxes to widow, widower, deceased spouse, or deceased child (whatever is appropriate). If the person is the widow or widower of a previously deceased spouse, change both relationships to deceased spouse.

For a deceased Student open the Bio 2 tab and enter the deceased date in Date To

Save and Close the record.
